SOPs for Small Business: How to Get Your Systems Out of People's Heads

When systems live in people's heads, losing one staff member means losing your operating manual. Here's the fast, practical way to document SOPs in an Australian SME.

Week 1 — List and rank. Write down every recurring task in the business. Rank by two questions: what breaks most often, and what depends most on one person? Your top ten is your SOP backlog.

Weeks 2–5 — Capture, don't compose. The person who does the task records themselves doing it (a phone video or screen recording is fine) while narrating. Someone junior turns the recording into a one-page checklist. This takes 30–60 minutes per SOP, not days.

Ongoing — Use or lose. An SOP that isn't referenced in real work is decoration. Build them into the workflow: the checklist is completed on each job, the onboarding SOP is the actual induction, the quote SOP is embedded in the quoting tool.

Where SOPs live

Keep it simple: a shared drive with a clear folder structure, or a lightweight tool like Notion. The tool matters far less than the habit. One rule keeps the library alive: whenever a process changes, the SOP is updated the same day by whoever changed it.
